How many copies, and in what form, does each Kolkata university want?

Start with the body that awards your degree, which isn’t always where your lab or library desk is. If you work in an institute lab with a Calcutta registration, you follow Calcutta’s rules. Two gaps are worth knowing before you print. Calcutta’s regulations send you to “the prescribed format given in the PAO website” (11.3). When we looked in September 2026, we couldn’t find a current format sheet posted there, so ask the Ph.D. Administration Office for it in writing. At Jadavpur, the university regulation and the engineering faculty’s checklist disagree on the number of copies: one says four hard copies, the other three soft-bound ones. The checklist is the later and more specific document, but still confirm with the FET office before binding.

What does the University of Calcutta’s 2025 rulebook ask of the thesis itself?

The Ph.D. Regulations, 2025 are in force from 12 February 2026. They spread the thesis over several checkpoints, and each one produces a document you write:

• A synopsis of up to 1,000 words for registration. You present it to the Departmental Ph.D. Advisory Committee (DPAC) within two years of admission (10.3, 10.5).
• Chapters at every annual review. Regulation 10.1 has you appear before your Student Research Advisory Committee (SRAC) once a year with “chapters drafted, experiments conducted, papers published”. So drafting early is a rule, not advice.
• A research summary of no more than 5,000 words. It is circulated at least fifteen days before the pre-submission seminar (10.7). If the DPAC wants changes, you reappear within three months, and no thesis goes in without its clearance certificate (10.8).
• A fixed title. You may modify the title up to the pre-submission seminar if the SRAC agrees. After that, no further change is ordinarily allowed (10.4). Settle the wording before the seminar, not at the printer.

Regulation 11.5 lists what travels with the thesis at submission. It’s a long list. First there’s the 350-word abstract and your academic biodata. There’s an undertaking that marks and discloses any text, images or other content produced by AI tools. Then a supervisor’s certificate of originality, the plagiarism report, and the first pages of your published or accepted papers. Add your conference certificates and your consent for Shodhganga (our Shodhganga guide covers that upload). Work done earlier may go in, with a clear statement of what was incorporated. But nothing already rewarded with a degree can (11.6).

After submission, two external examiners and your supervisor read the thesis, and the whole evaluation should finish within six months (11.9, 11.12). You get the examiners’ reports, without their names, at least seven days before the open viva, which may be held online (12.3, 12.4). What do Jadavpur University and Presidency University check at the submission desk?

Jadavpur. The Ph.D. Regulation 2024 (effective 24 May 2024) sets a minimum of three years’ work after registration. The Doctorate Committee may allow submission two years after registration, though. For that, the supervisor or Research Advisory Committee has to certify three years’ worth of work (22(i)). Before submitting, you present the work at an RAC meeting open to faculty and scholars (22(iii)). Clause 23(ii) shapes the front of the thesis. Your preface must state the proposition the work rests on and how it adds to knowledge. It must also say where your information came from, and which portions you claim as your own original contribution. Most scholars write a thin preface, but at Jadavpur it carries weight.

The Faculty of Engineering and Technology adds a submission checklist. Your name and the year of submission go on the top and spine of each copy. The front page and chapter sequence follow its Annexures 4 and 5. The supervisor’s certificate follows Annexure 6(2). And you sign the last page of all three copies. The thesis and synopsis go on one CD or DVD as two separately named PDFs. The office takes theses from 11 a.m. to 2 p.m. on working days. Before the viva, one hard-bound copy with a CD goes to the office for the library.

Presidency. The Ph.D. Regulation 2023 has you apply for the pre-submission seminar about six months before submission. You send four copies of a synopsis of preferably 5,000 words (8.3). Committee members may give suggestions in writing. You work on them with your supervisor before the final seminar clears you (8.4). The thesis then goes to the Secretary of your Faculty Council. Presidency asks for an editable DOC or DOCX file alongside the PDF. Every hard copy carries a photocopy of the signed anti-plagiarism certificate (8.6). Watch your Bengali or Sanskrit quotations. If they’re typed in an old legacy font, they’ll break the Unicode rule, so convert them before the final pass.

What do IIEST Shibpur, WBUHS and the Indian Statistical Institute add?

IIEST Shibpur. The Ordinances for the Doctoral Programme carry the most detailed layout guide in the city. A4 is recommended, printed on both sides on white paper of at least 75 gsm. Pages before Chapter 1 take Roman numerals, and from Chapter 1 through the appendices they take Arabic ones. A sub-heading at the foot of a page needs two full lines under it. Images should be scanned above 300 dpi, and a long thesis may run to more than one volume, with the preliminary pages in Volume I only. The sequence starts with the title page, certificate and acknowledgement (a dedication is allowed). Then come the abstract, contents, lists, text, references and appendices. The abstract inside the thesis stays within 1,000 words and must not depend on citations. You submit within three months of the pre-submission seminar. The Dean (Academic)’s submission protocol of October 2020 sets out the steps: you apply by e-mail through your supervisor and head of department, and you pay online. Then you bring four hard copies (five with more than one supervisor), a CD and a list of publications. You also bring clearances from the library and the mess or Dean of Student Welfare.

WBUHS. This is the route for medical and health-science scholars. Under the PhD Regulations 2023, you give a Pre-PhD presentation of the draft thesis before the university’s PhD committee. The seminar is announced on the university website fifteen days ahead (13). The experts’ written suggestions must be worked into the draft. The Dean of the Faculty then approves writing the final thesis, and it’s due within three months of that approval (14, 15). But the same regulations also speak of the Pre-PhD presentation coming at least six months before final submission. So ask the Dean’s office which timetable it applies to you. The university’s 2020 plagiarism policy fixes the electronic side. You need one searchable PDF under 40 MB, from title page to last page. You also need a CD with the thesis split into files named Title, Certificate, Abstract, Declaration and so on, through each chapter to Bibliography. The degree is not awarded until the digital copy is deposited.

ISI. The Institute’s rules for Ph.D. registration and thesis evaluation are short. You submit a synopsis to your RFAC and give a public seminar, then submit the thesis with a supervisor’s certificate that you answered the seminar’s questions satisfactorily. All of this happens within five years of registration, or the registration lapses. Your supervisor and two external examiners then read the thesis before the viva. Chapters come to us by e-mail or a shared folder, and they go back with tracked changes and comments in the margin. For a Kolkata thesis, we date the scope against your own university’s checkpoints:

• Calcutta: your annual SRAC review, where drafted chapters are expected. Then the 5,000-word summary, which must reach the committee fifteen days before the pre-submission seminar. We plan to finish reading the whole draft before you write that summary.
• Jadavpur: the open RAC presentation, and the preface that clause 23(ii) asks for. We read the preface last, since it has to match what the chapters finally claim.
• Presidency: the application for the pre-submission seminar about six months ahead. After it come the written suggestions you must answer.
• IIEST and WBUHS: the three-month window after the seminar approval. It’s the tightest in the city. The layout pass against IIEST’s guidelines or the WBUHS file-naming list comes at the very end.

Is your thesis in Bengali? Then we can review only the parts in English, such as an English abstract or summary. The Bengali text needs a reader in your department. Printing, binding and burning the CD are yours to do. So is carrying copies to the PAO, a Faculty Council office or the FET office.
